Groups
Groups
A Group is exactly as it sounds, a group of Accounts that have all been given a specific set of Permissions. A Group can also be given custom properties.
Common examples of Groups:
- Administrators is a group of Accounts usually provided with full Permissions
- Editors is a group of Accounts that are often given editing Permissions without the power to publish to the live site
- Guests is a group of Accounts often given limited Permissions, perhaps only being allowed to publish new stories within a forum.
Managing Groups is done from within the Account Manager.
Group Options:
- Create New - click Create New. Type in the Group Name and click the green FINISH button. Click the green EDIT GROUP button.
- Delete Checked - check the box next to the selected Group and click Delete Checked. Click YES.
Permissions
Permissions grant access to the various functions within your OpenEdit Website.
To make changes to an existing Group, click on the Group name you wish to edit. From there, Permissions are set within a Group, and each Account can then be assigned to one or more Groups.
To add or delete a Permission from a Group, click the box next to the Permission you wish to change and press Save Permissions.
Permission Options
The Permissions available depend on the plug-ins you have installed for your OpenEdit Website.
Editing
- Edit Pages - provides access to the Inline Editing Toolbar
- Admin Toolbar - provides the user with access to the Admin Toolbar
- **File Manager - provides the user with access to the File Manager
- **Upload New File - provides access to the Upload New File icon in the Admin Toolbar
- **Links and Menus - provides access to the Edit Links and Menus icon in the Admin Toolbar
- **Account Manager - provides access to the Account Manager icon in the Admin Toolbar
- **Languages - provides access to the Languages icon in the Admin Toolbar
- **View Workflow - provides access to the View Workflow icon in the Admin Toolbar
- **Notification - provides access to the Notification icon in the Admin Toolbar
- **Recent Edits - provides access to the Recent Edits icon in the Admin Toolbar
- **Change Layout - provides access to the Change Layout icon in the Admin Toolbar
- **Manage Site - provides access to the Manage Site icon in the Admin Toolbar
- Advanced Editor - provides access to advanced settings within the Visual Editor
- Advanced Settings - provides access to advanced settings within the Settings Editor
- Notify of Edits - receive Email Notifications of the Edits on your OpenEdit Website
- Notify of Errors - receive Email Notifications of any Errors and Exceptions created within your OpenEdit Website
- Draft Stage - provides access to Draft Stage for Multi-level Editing
- Ready Stage - provides access to Ready Stage for Multi-level Editing
- Final Stage - provides access to Final Stage for Multi-level Editing
- Edit All Files - provides access to direct edits via the Inline Editing Toolbar of non-editable files within the File Manager
- Direct Edits - provides access to direct edits via the Inline Editing Toolbar of non-editable files within the File Manager and by-passes draft mode, approving your saved changes directly to the live site
** note - this Permission requires the Admin Toolbar Permission to be selected in order for the icon to be accessible.
Blog
- Blog Admin - provides access to the Blog Admin section of the Blog
- Post Stories - provides access to the Add New link within a Blog
Store
- Store Manager - provides access to tools within the Catalog Manager icon
Events
- Event Admin - provides access to the Event Admin section of the Events Calendar
Archive
- Archive View - provides access to view the product/image archive
- Archive Admin - provides access to the Product Archive Manager tool
- Capture History -
- View Details - provides access to the detail pages of archive products
- Preview - provides access to the preview link on a product's details page
- Download Zip -
- Download FPO -
- Conversions - provides access to downloading images in varying formats and dimensions
- JobTracking - provides access to the job tracking tool
- Job Editing - allows a user to edit and create new jobs in the job tracker
- Direct Download - allows a user to directly download an image from the archive
- Advanced Search - provides access to the advanced search tool in the archive
- Collections - allows a user to create a collection basket of products/images from the archive
- Save Collection - allows a user download their collection basket as a whole
- Browser -
- Search Filter - provides access to the search filter tool
- Record Editing - allows a user to edit metadata associated with a product/image in the archive
- Select Category - allows a user to select categories to narrow or broaden their searches in the archive
- Allow Voting - allows a user to vote on products/images in the archive
- Uploads - allows a user access to the upload tool
